How to configure a signature in Roundcube Webmail

Roundcube Webmail lets you add a signature so your messages include your name, role, phone number, or website link. This helps when you work from the browser and want a consistent presentation without depending on Outlook, Gmail, or another email client.

Before you start

  • Have access to Webmail with your full email address, for example ventas@tudominio.com.
  • Have the signature text and links you want to include ready.
  • Confirm whether you will use plain text or a formatted HTML signature.

Steps

Open Webmail from cPanel or from your browser

Log in to Webmail with your full email address and password. You can do this from cPanel in Email Accounts or directly from your domain’s Webmail URL if you already have it saved.

If cPanel shows several Webmail options, choose Roundcube. Some accounts open Roundcube directly without asking you to choose an app.

Open the Roundcube settings

Inside Roundcube, look for Settings or Configuración in the side menu. Then open Identities or Identidades.

The exact location may change depending on the Roundcube theme, but it usually appears in the left menu or in the gear icon.

Edit the email identity

Select the identity that matches your email address, for example ventas@tudominio.com. Check that the name field shows how you want to appear to your contacts.

In the signature field, write the text you want to add at the end of your messages. If you need formatting, enable the HTML signature option when it is available.

Save and test a new email

Save the changes from the Save or Guardar button. Then create a new message to confirm that the signature appears in the editor.

If the signature does not appear right away, close the compose window and open a new one. Also check whether Roundcube has an option to insert signatures only in new messages or also in replies.

Final verification

  • When you create a new email, the signature appears at the end of the message.
  • The identity name shows the correct sender.
  • The signature links open the expected page.
  • A test sent to another account keeps the basic signature formatting.

Common errors

  • The signature does not appear while composing → the wrong identity was edited → return to Identities and choose the correct email address.
  • The formatting disappears after sending → the signature was saved as plain text → enable HTML signature if Roundcube allows it.
  • The link opens an incorrect address → the link was written without https:// → edit the signature and paste the full URL.
